Team workspaces let multiple people collaborate inside a single Rankforce account without sharing login credentials. Each team member gets their own login with a role that defines exactly what they can see and do — from full account ownership down to read-only reporting access. You can also restrict individual members to specific connected sites, so an agency copywriter only ever sees the one client site they’re working on.
Team workspaces are a Scale plan feature. If you’re on Starter or Growth, see Upgrading to Scale at the bottom of this page.

Roles and permissions

Every team member is assigned one of four roles. Roles apply account-wide by default, but can be scoped to individual sites using per-site access controls.

Use the Viewer role for clients or executives who need to check SEO performance without risking accidental changes to agent settings or optimization queues.

Inviting a team member

Go to Team settings

In your Rankforce dashboard, navigate to Settings → Team.

Click Invite Member

Select Invite Member in the top-right corner of the team table.

Enter their email address

Type the email address of the person you want to invite. They must use this address to accept the invitation and create their Rankforce login.

Assign a role

Choose one of the four roles — Owner, Admin, Editor, or Viewer — from the role dropdown. You can change this role at any time after the invitation is accepted.

Set site access (optional)

By default, the new member has access to all connected sites permitted by their role. To restrict them to specific sites, toggle Limit to specific sites and select the relevant sites from the list.

Send the invitation

Click Send Invite. The invitee receives an email with a link to accept and set up their account. Pending invitations appear in the team table with an Invited badge until accepted.
Invitation links expire after 72 hours. If a team member didn’t receive the email or the link expired, open Settings → Team, find their row, and click Resend Invite.

Removing a team member

Open the Team table

Navigate to Settings → Team to see a list of all current members and pending invitations.

Find the member

Locate the team member you want to remove. You can use the search bar to filter by name or email.

Remove them

Click the (more options) menu on their row and select Remove Member. Confirm the action in the dialog that appears.
Removal takes effect immediately. The member is logged out of any active Rankforce sessions and can no longer access the account. Their past actions remain in the audit log — removing a member does not erase the history of changes they approved or applied.
You cannot remove the Owner. To transfer ownership, contact Rankforce support.

Per-site access controls

When your team includes people who should only work on specific sites — for example, a freelancer managing one client’s SEO — you can restrict their access to just those sites without changing their role permissions. To update a member’s site access after they’ve joined:

Open the member's profile

Go to Settings → Team and click on the team member’s name or email to open their profile panel.

Edit site access

Under Site Access, you’ll see either All sites or a list of specific sites. Click Edit to change this.

Select sites

Toggle the sites this member should have access to. Deselecting a site immediately prevents them from viewing or interacting with it.

Save changes

Click Save. The change takes effect on the member’s next page load or within a few seconds if they’re currently active.
Per-site access works in combination with roles — a member’s role defines what they can do, and their site access defines where they can do it.

Audit log attribution

Every optimization approval, rejection, rollback, and configuration change made by any team member is recorded in the audit log with full attribution. To view attributed changes:

Open the Audit Log

Navigate to Settings → Audit Log or click the Audit tab within any connected site’s dashboard.

Filter by team member

Use the Member filter dropdown to show only actions taken by a specific person. You can combine this with date range and site filters to narrow results further.

Inspect a log entry

Click any log entry to see a full detail panel: the team member who triggered the action, the timestamp, the specific change applied (including before/after values), and whether it was applied manually or via autopilot.
The audit log records all of the following events, tagged to the team member who performed them:
  • Optimization approved or rejected
  • Autopilot mode enabled or disabled
  • Agent guardrails updated
  • Protected pages added or removed
  • Team member invited, role changed, or removed
  • Site connected or disconnected
  • Rollback initiated
  • Content engine draft published or discarded

Upgrading to Scale to unlock team workspaces

Team workspaces are exclusively available on the Scale plan. If you’re currently on Starter or Growth, you can request an upgrade by clicking Upgrade to Scale in Settings → Billing. Fill in the short intake form with your expected team size and number of sites, and a Rankforce account manager will follow up with a custom quote within one business day.
